Job Description:

Could you be our next Team Assistant in the NDG team?
This role ensures the effectiveness of the Department head leaders and the general smooth running of the team with various administrative and project management functions. What can you expect on a day-to-day basis? 

  • Managing the diary and travel for Director and SLT member Including Agency Meeting Days
  • Assisting Directors and SLT with Concur Processing
  • On-boarding / Off Boarding / Position Changes / Corp Cards, Software requirements
  • Processing invoices and obtain appropriate authorisation for payment
  • Managing and submiting staff change requests
  • Managing the department budget
  • Managing compliance requirements for the department
  • Receiveing, organising and distributing incoming documents for department
  • Producing correspondence and reports using appropriate software and tools
  • Establishing, organising, and maintaining records, files and electronic data banks
  • Maintaining inventory and ordering office supplies
  • rranging travel reservations and accommodations for principals and department employees
  • Participating in the planning and execution of department special events
  • Ordering catering and supplies
  • Arranging team functions and booking of restaurants/suppliers etc
  • May be required to attend the office on additional days to help facilitate large McDonald’s meetings
  • May be required to attend the office to allow tradesmen to carry out repairs and works on the office
  • Managing department Annual Leave Calendar
  • Maintaining department organisation chart
  • Ordering gifts and flowers as required 
  • Providing clerical support for meetings and conferences

  • MS Office skills (strong)
  • Diary management and travel booking capability
  • Ability to liaise with internal and external stakeholders
  • Strong computer skills, able to problem solve meeting connection issues
  • Clear written and verbal communication skills 
  • Ability to take initiative, be assertive and responsive in a timely manner
