Duties
We are looking for an experienced Executive Assistant to support to Leadership within our International Markets.
What will my accountabilities be?
Extensive diary management & coordination across multiple time zones.
- Co-host monthly Leadership calls
- Aiding with the agenda
- Collating pre reads
- Creating PowerPoint Decks
- Time keeping
- Monitoring the meetng chat box and filter questions
- Comprehensive minute taking (90-120 mins)
General meeting preparation - ensuring that information cadence is consistent, relevant, timely and efficient.
Keep track of 1:1s with direct reports, monthly meetings with other heads of department and ensuring Global commitments are secured in the diary well in advance.
Build and maintain strong relationships across the International Exec & EA community, facilitating alignment across Markets and clear communication between Leaders.
Keep track of personal changes: birthdays, work anniversaries & personal events.
Plan and organise events for International People team (within London and Internationally) including budgeting, venue hire, negotiating contracts, catering & restaurant recommendations, tech availability, invitations and travel assistance for attendees.
Support international Executives when they are over in London (transfers, hotels, restaurants and agendas)
Track and file expenses following - ensuring the reports are accurate and submitted in advance of payment due date.

Qualifications
The ideal applicant with have extensive and demonstrable experience as an EA at Senior Executive / Vice President level:
- Adept at arranging and planning international travel inc. flights, hotels, transfers, organising visas, passport renewals and latest in country COVID regulations.
- Experience of planning large scale global meetings across multiple time zones with large numbers of senior attendees.
- A self-starter who enjoys on taking ownership of ad hoc tasks/projects for the Exec with a willingness to help deepen your understanding of the business.
- Exemplary professional conduct, communication and writing skills.
- Discretion and sensitivity to handle and manage confidential information.
- Ability to be in the Shoreditch office 2-3 days a week (or whenever the Exec is present in the office)
- Must be organised, motivated and detail-oriented with superior follow-through.
- Aptitude to juggle multiple projects and meet deadlines.
- Strong attention to detail and ability to complete large volumes of work efficiently and effectively.
- Advanced MS Office skills & strong overall IT capabilities.
- Ability to utilise (or quickly learn) technology to facilitate meetings or business need etc.
